Orthodontics Healthcare - Office Manager

This is a new position for the Company that combines Light Accounting and ‍‍General Administrative responsibilities for a growing and progressive company. The Management Assistant role is a full -time position that provides opportunities to excel and get involved in challenging projects.  The Management Assistant responsibilities will encompass interfacing with Foreign Food Vendors and Suppliers managing email communications and shipping schedules, working with Customs brokers and compliance documents, meet deadlines throughout the full phase of manufacturing fresh food products/exported from India to the NY Port.  the individual will be asked to provide administrative support to the CEO.  Perform research, compiling report information, managing project activities and/or scheduling shipments. He/she will be exposed to confidential and sensitive information and must use considerable tact, diplomacy and judgement.This individual must have excellent computer skills with the ability to maneuver through various applications in order to execute work requested.

JOB RESPONSIBILITIES:

  • Answer Phone calls, retrieve and send emails. Contribute to operations by performing duties such as assigned such as preparing reports, doing research, scanning documents to appropriate computer drives, etc.
  • As needed, assist with preparing and compiling major documents including proforma invoices, customs documents, shipping, invoicing, and inventory tracking.
  • Effectively interface with foreign vendors, suppliers through email, Skype®. Working knowledge of Word, Excel. Will train with the use of QuickBooks® Inventory Module.
  • Provide administrative support of the company’s PC’s, printers, servers and related network equipment when needed.
  • Work with our systems administrator to perform routine system administrative tasks such as adding, changing, or deleting users, creating directories and providing assistance to system users about system problems and their resolution status


QUALIFICATIONS:

  • Associates degree in a business or related field preferred or relevant experience required
  • Two plus years’ experience in an administrative assistant level role
  • Effective communication skills, both written and verbal
  • Exceptional customer service skills and professional demeanor
  • Strong administrative and organizational skills with a track record of effective time management and prioritization skills
  • Ability to multitask and perform duties in a high pressured, fast paced environment
  • Analytical and problem-solving mindset is required
  • MUST have some technical/computer skills i.e. Microsoft Office, Word, and Excel
  • Ability to quickly leverage new technology tools and possess a demonstrated understanding of current technology to effectively support management
  • Ability to deliver high quality work with accuracy
  • Ability to work independently, a self- starter
  • Comfortable handling and accessing confidential information
  • Ability to be resourceful and proactive in dealing with any issues that may arise
  • Foster teamwork with other team members and business partners
